Artwork identification form
Each exhibitor will be emailed a loan agreement for the work selected, which needs to be completed, signed and returned to the AOI offices by Sunday 29 July 2012. You can either post the agreement to AOI, 2nd Floor, Back Building, 150 Curtain Road, London, EC2A 3AT or email your agreement to

. As time is of the essence we would recommend scanning your agreement and returning it via email.
A hanging fee for each artwork will need to be paid to assist in covering the cost of the exhibition. Please ensure that you pay your hanging fees before Sunday 29 July 2012. Award winning artworks are not subject to a hanging fee.
If you are an agent or tutor for the entrant you are responsible for informing the illustrators regarding this information, as we will not be corresponding with them directly. Please note that all entrants are required to show a minimum of one work and all award winning works must be exhibited in the London exhibition and national tour.
The agreement includes all exhibition, collection and delivery details and further requirements subject to the terms and conditions enclosed with the agreement.
Artwork
- Hanging fee per artwork: AOI Member: £49, Student non-member £69, Non-member £95

- This year we will be framing artwork to ensure the exhibition is consistent and displayed in a high quality manner. Work will be exhibited in quality Tulip box frames and mounted with acid free board. Frames will be available at the following sizes A4, A3, A2 and A1.
- Please pay your hanging fee either online/phone or post before Sunday 29 July 2012.
- We have spoken to many of you regarding the size of your work. Please do not deviate from what you have already agreed with us.
- Please confirm with your loan agreement the size of the original artwork or the size you intend to print your work.
- Please note that the maximum size for digital prints inclusive of the frame is A3 and the maximum size for originals inclusive of the frame is A1 unless otherwise advised by the AOI.
- Please ensure that digital artworks are reproduced as high quality prints (not using home ink-jet printers).
- All digital prints should be dry mounted in advance of sending them. If you are not confident doing this sufficently yourself please take it to a professional framer in advance.
- Please ensure that your artwork is clearly labelled on the back with your name.
- Please ensure that your artwork is adequately protected for transit before it is delivered to the AOI offices. It is recommended that you cover the print/original artwork with thick card, using corner protectors where possible and wrap the work in a sufficient layer of bubble wrap.
- Please attach the one half of the Artwork Identification Form to the outside of your wrapped artwork. Please include the other half on the inside of the package.
- The AOI has the right to reject any artwork it deems to be below the quality standard required.
Work in context
We are unsure as to whether we are able to show artwork in context. We would however prefer that you send any contextual items such as books, magazines to the AOI office before 20 August 2012. Please deliver to AOI, 2nd Floor Back Building, 150 Curtain Road, London, EC2A 3AT.
Delivery
- Please send or deliver all artwork clearly labeled AOI SHOW 2012 FAO of Claire Knock to Jacksons Framers before 20 August at the latest. The address is FAO Claire Knock, Jacksons Framers, 18B, Long Street, London, E2 8HQ..
- They are open every weekday 9.00-19.00 and open Saturdays 10.00-16.00. If you intend to deliver work in person we would recommend that you call 0207 7294 230 first..
Works for Sale
- Please state your sale price for the framed work in the exhibition on the enclosed Loan Agreement Form or state NFS if the work is Not For Sale.
- Please bear in mind that all sale prices should include the 25% commission fee plus VAT If the work is sold during the London exhibition or tour. The commission fee is payable to the AOI and contributes towards its educational activities. If the work is sold on tour, the commission fee is split equally between AOI and the tour venue.
- If you wish to sell the framed artwork the AOI will add the cost of the frame to the overall price. We will collect this amount along with the 25% commission in order to cover our costs.
- If you wish to sell editioned prints of the work please state so on the loan agreement, again the sale price is inclusive of the 25% commission. You will be responsible for any additional printing costs.
- £10 should be included in the sales price to cover the cost of postage & packing unframed work. For framed work valued under £180 (excluding frame value), £15 should be included in the sales price and for work valued over £180, £30 should be included in the sales price. This insures the work against loss up to the value of the artwork, but not damage.
Insurance
- Work that is valued under and including £180 (excluding frame value) is covered by AOI insurance. Works of a greater value should be additionally insured independently at your own expense.
Private View
- The Private View will take place on Tuesday 2 October 2012 at Somerset House in London. Invitations will be sent nearer the time.
Collection
- All work should be collected from Somerset House when it returns from touring in September 2013. You will be contacted nearer the time about specific arrangements.
- If you are unable to come to London to collect your work you will need to arrange for a courier to collect it from our offices and notify us of when to expect them.
